These are the decisions we make explicit in a proposal. The depth of each deliverable depends on whether you commission discovery, a prototype or production implementation.
Prepare a project briefName the user, trigger, permitted information and expected output. Record the steps that remain manual and when the system must stop or ask for help.
Choose representative examples, awkward cases and unacceptable outcomes. Define what reviewers check, including missing evidence, incorrect actions and permission failures.
Identify integrations, account access, deployment requirements and review milestones. A prototype should make its limitations visible before anyone relies on it operationally.
Separate the build quote from model usage, hosting and subscriptions. Agree source-code ownership, licences, account access, documentation and support responsibilities.

The quote depends on the number of integrations, the condition of your information, the evaluation required and the deployment environment. A document intake workflow with one destination has a different scope from an agent with access to several internal systems.

Discovery clarifies the problem, information and acceptance criteria. A prototype tests an approach. A production build adds the agreed integrations, evaluation and operating arrangements. The proposal says which stages you are buying.
If a fixed rule, search filter or existing software feature solves the task reliably, that may be the better starting point. Inaccessible source data or an unclear approval process may need attention before a model is useful.
Agree a baseline and a measure for the chosen task, such as time per reviewed item, correction rate or cases completed. Compare like-for-like work and include reviewer effort and running costs. Results depend on the actual process; they should be measured rather than assumed.
