Use this worksheet to compare proposals or prepare a scoped engagement. Published 3 October 2026. Keep confidential records out of an initial enquiry; use redacted examples.

1. User and job: Who needs to do what?
2. Current process: What triggers it, what tools are involved, and who approves it?
3. Baseline: What does one reviewed item take today? What corrections occur?
4. Source information: Who owns it, who can access it, and what is missing?
5. Allowed actions: What may the system read, draft or change? What requires approval?
6. Representative examples: Include typical, ambiguous, missing-data and permission-denied cases.
7. Acceptance: Define an acceptable result and the outcomes that must never pass.
8. Delivery: Discovery, prototype or production? List integrations, milestones and dependencies.
9. Costs: Separate build quote, model usage, subscriptions, hosting and support.
10. Handover: Code ownership, licences, account access, operating documentation and maintenance owner.
11. Stop condition: What finding would tell us not to build or not to release?
12. Review date: When will we compare against the baseline, including human review effort?
